Privacy Policy
This policy explains what the Retina Creative Client Portal at rtna.co collects, why, who it's shared with, and the choices you have. The portal is run by Retina Creative LLC (“Retina Creative,” “we,” “us”), a creative studio based in Los Angeles, California.
Who the portal is for
The portal is a private workspace for Retina Creative's clients. Only people a client asks us to add can sign in, and each person only sees the portals they've been added to. It is not a public service and is not meant for children under 16.
What we collect
When you sign in
You sign in with a one-time code sent to your email, or with your Google account. Either way, the portal receives your email address so it can check that you've been given access. When you use Google, Google shares your email address, name and profile picture with our sign-in provider (Cloudflare). The portal itself only uses your email address. We don't receive or store your Google password, and we don't access your Gmail, Drive, Calendar or any other Google data.
What you and we add to the portal
- Tasks and comments: titles, descriptions, status changes and comments.
- Social posts: photos, videos, captions, hashtags, first comments, people tagged in photos, alt text, planned dates and approvals.
- Activity history: who made each change and when (shown by email address or name), so everyone can see how a post or task got to where it is.
- Client details: your company's name and logo, and links you share with us, such as a Google Drive folder.
Technical information
Our hosting provider processes standard technical data, such as IP addresses and browser type, to deliver pages, keep the service secure and block abuse. Signing in sets a session cookie so you stay signed in. The portal does not use advertising cookies, analytics trackers or third-party ad networks.
How we use it
- To let you sign in and to show you only the portals you have access to.
- To run the work we do together: managing tasks, preparing social posts, and collecting your edits and approvals.
- To publish social posts you've approved to your social media accounts, at the time we schedule them.
- To email Retina Creative when you add a task or approve, edit or comment on a post, so we can respond quickly.
- To keep the portal secure and working.
We don't sell your information, rent it, or use it for advertising.
Who we share it with
We use a small number of service providers to run the portal. They process information on our behalf and only for these purposes:
- Cloudflare: hosting, the portal's database, photo and video storage, and sign-in.
- Google: sign-in, if you choose to sign in with Google.
- Buffer: scheduling approved social posts. When a post is scheduled, its photos or videos, caption, hashtags, first comment and tagged people are sent to Buffer, which publishes them to Instagram and Facebook (Meta). Once published, a post is public and is governed by those platforms' policies.
- Resend: sending notification emails to Retina Creative.
- Bonsai: our project management and invoicing tool. When we start a project from a task, the task's title is sent to Bonsai.
We may also share information if the law requires it, or to protect the rights and safety of our clients, our business or others.
Photos and videos
Photos and videos uploaded for social posts are stored with Cloudflare. So that Buffer can collect them at posting time, each file has its own long, random web address that works without signing in. These addresses aren't listed or published anywhere, but anyone who has one can open that file. When a photo or video is removed from a post, or a post is deleted, the file is deleted from storage.
Information from Google
The portal's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use your Google email address only to sign you in and confirm your access. We don't use it for advertising, sell it, or let anyone else read it.
How long we keep it
We keep portal information for as long as we work together, so there's a record of what was approved and when. When a client relationship ends, or when you ask, we delete that client's portal information, except where we need to keep something for legal, tax or accounting reasons. Published social posts stay on the social platforms until they're removed there.
Security
The portal runs over encrypted connections, requires a verified sign-in for all client information, and keeps each client's information separate from every other client's. No system is perfectly secure, but we take reasonable steps to protect what you share with us and will let affected clients know promptly if something goes wrong.
Your choices and rights
You can ask us to show you, correct, export or delete information about you, or to remove your access, by emailing dustin@rtna.co. Depending on where you live, including California, you may have additional rights under local law, and we'll honor them. We won't treat you differently for making a request.
Changes to this policy
If we change this policy, we'll update the date at the top. If a change materially affects how we use your information, we'll let our clients know before it takes effect.
